Catherine Place is a small, well-respected non-profit located in a century old home in the Hilltop neighborhood of Tacoma. Founded in 2000, Catherine Place has made a positive difference in the lives of thousands of women in Pierce County. We are women empowering women, providing hospitality, companionship, advocacy, and education; supporting women, particularly those experiencing challenges related to poverty, violence, loss, illness, and/or immigration. Our mission is to improve the lives of women through Hope, Healing, and Connection.
Position
The Administrative Assistant is a valued member of the Catherine Place team, responsible for managing our program and development databases, communications, and providing general organizational support. Preferred candidates for this position have conversational Spanish skills. Most work will take place during business hours, although some evening and weekends may be required for outreach or special events.
Responsibilities
1. Administration
• Hospitality: answer phones, listen to and connect with women
• Office Management: manage admin email accounts, internal calendar of ongoing groups and meetings, procure and maintain office supplies and equipment
• Fiscal Duties: process checks and cash, record and deposit donations, track petty cash and gift card logs
2. Database Management
• Data Entry: enter program outcome & output data in Salesforce, enter contact information and donations into Little Green Light
• Reporting: produce outcome, contact, fiscal, and mailing lists, provide support related to events
• Acknowledgments: ensure all gifts are properly acknowledged by processing monetary and in-kind donation thank you letters in a timely manner
• Data Analysis: implement import/export projects, data clean-up
• Reconciling: Work closely with the Bookkeeper to verify donor and financial records
3. Communications
• Donor Outreach: mail solicitations, pledge reminders, and tax letters
• Event Correspondence: save the dates, invitations, vendor communication, attend and support events
• Social Media: manage MailChimp account; post Facebook, website, and enewsletter content
Skills
• Commitment learning the vision, mission, and values of Catherine Place
• Strong customer service, teaming, and community relations experience
• High proficiency in Microsoft Office and Google products
• Experience with database entry, preferably Salesforce and/or Little Green Light
• Detail oriented with a high level of accuracy
• Ability to organize information and manage time with multiple priorities
• Ability to communicate effectively in person and in writing to a diverse community (age, racial-ethnic, faith, etc.)
• Verbal communication skills in Spanish and English
• Discretion in dealing with confidential and sensitive information
• Consistent attendance and punctuality
Compensation
This is a 15 hour a week, part time position starting at $16.50 an hour.
